The mission goal
The employees in your company are given the opportunity to create and/or update their individual employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your staff the chance to identify themselves at any time to 100% with their own employee photo.
The personal photos are automatically optimized to the best possible format, freed from annoying elements in the background and, if desired, saved in several formats and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can be read directly from the business card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be displayed.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in several sizes.

Logically, each file can also be “branded” using the company logo and/or the name and position of the employee will also be visible on the image.

How does the photographed person get their photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to receive his photo as a file.
- Download via QR code from an offline gallery
The photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where the employee can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.

At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the various formats for the different target systems.
Other deployment options
In order to make the best use of the purchase, you have the following options:

The need for investment
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
