What should be achieved?
The staff in your company get the opportunity to take a photo of their own employee and/or update it at a fixed location or at rotating alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to identify themselves completely around the clock with their individual employee photo.
The personal photos are automatically optimized to the ideal format, removed from annoying elements in the background and optionally saved in several formats and aspect ratios.
A suggested solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a confirmation option for internal / external use of the image can also be displayed.
After the employee picture has been photographed, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to help your IT department define the connection.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen in parallel in different sizes.
So you always have the ideal photo for
the CRM system, Instagram, WhatsApp & Co, Twitter, XING, LinkedIn, Outlook
etc. ready.
Of course, each file can also be “branded” using the company logo and/or the name and position of the employee will be immediately visible on the image.

How does the employee get their photo?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the workforce to choose from to also receive their photo as a file.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the workforce can use to download the original recording and the different formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address.
Other uses
In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The investment for the acquisition of such a customized photo box starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
