The use of a photo box for employee photos

The staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your employees the opportunity to identify themselves around the clock with 100% with their own employee photo.

The personal photos can be cut to the appropriate format, freed from annoying elements in the background and saved in different sizes and aspect ratios if desired.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box and read the operating instructions for the necessary actions on the display, similar to the photo booth.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read immediately from the employee ID card. The data recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the image.

After the employee picture has been taken, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the stored image and the in-house employee data record takes place via the name of the file. We would be happy to help your IT department specify the connection.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in parallel in many formats.
So you always have the best possible photo for
the CRM system, Twitter, Outlook, Facebook
etc. ready.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will be included in the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to get their picture digitally.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to download their original image and the different sizes for the different target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the workforce can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

To get the most out of your investment, you have the following options:

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
