The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves completely around the clock with their personal employee photo.
The staff photos can be independently adapted to the optimal format, removed from disturbing elements in the background and, if desired, saved in various formats and aspect ratios.
One possible solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit down in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the required data such as B. Personal identification, name, family name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read directly from the company ID card. The information collected in this way is then later an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.
Following the recording of the employee picture, the background of the recording can be automatically exchanged for one or different backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the photographed image and the internal employee data record. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place in different dimensions at the same time.
So you always have the best photo for
Twitter, Outlook, XING, the CRM system, LinkedIn, Facebook
etc. lying ready.
Of course, each file can also be “branded” with a company logo and / or the name and position of the employee will be visible on the picture.

How does the photographed person get their photo?
So that not only the CRM system or the ActiveDirectory get the new recordings, there are three different ways for the employee to get his photo as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photobox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the screen, which the employee can use to load his original photo and the various formats for the various target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email inbox.

Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained directly.
recommendations
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
Both at WWZ AG in Switzerland and at Haufe Lexware, the system is very well received by colleagues.
