The mission goal
The employees in your company are given the opportunity to photograph their own employee photo and/or update it at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not required on site.
You give your workforce the opportunity to always identify themselves to 100% with their personal employee photo.
The personal photos are automatically adjusted to the best possible format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the operating instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can simply be read from the employee ID card. The data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the photo taken and the internal employee data record via the name of the picture. We would be happy to help your IT department determine the connection.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in various dimensions.

Of course, each file can also be "personalized" using company logos and/or the name and position of the employee can appear directly on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to get his photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy his original recording and the various sizes for the different target systems. - Enter the e-mail address at the end of the photo sequence.
In this case, the captured photo will be sent directly to the employee's inbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which employees can download their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
