The use of a photo box for employee photos

The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your employees the option to always fully identify themselves with their personal employee photo.

The staff photos are automatically optimized to the optimal format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

The solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box and see the operating instructions for the necessary actions on the touchscreen, as with the passport photo machine.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data, such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can simply be read from the employee ID card. The data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal/external use of the image.

After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in determining the connection.

A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in various forms at the same time.

Logically, each file can also be “branded” using the company logo and/or the employee's designation and position can be immediately visible on the image.

How did the staff come to the picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the sales representative to choose from to also receive their picture digitally.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the field service employee can use to load his original recording and the different versions for the various target systems.
3. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the sales representative must dial into.
   At the end of the sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where the sales representative can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
