What should be achieved?

The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to always identify 100% with your personal employee photo.

The personal photos are automatically optimized to the appropriate format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.

A suggested solution

You can position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read in immediately from the employee ID card. The employee data recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal / external use of the image.

After photographing the employee portrait, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the recorded image and the in-house employee data record via the name of the file. We would be happy to support your IT department in specifying the import interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in several forms at the same time.
So you always have the ideal photo for
Twitter, Facebook, XING, Outlook, the CRM system, LinkedIn
etc. within easy reach.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will be immediately visible on the image.

How did the staff get the photo?

So that the CRM system or the Active Directory are not the only ones to get hold of the new photos, the employee has three different ways to choose from to also receive his photo digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different sizes for the different target systems.
2. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the employee must dial into.
   At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
3. Entry of the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

• Recordings of groups of visitors, e.g. after a tour of the company
• Use at employee parties (summer party, Christmas party ...}
• Photo attraction at customer events & meetings

The cost frame

The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course there is also the option to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
