The use of a photo box for employee photos

The employees in your company have the option of taking their own employee photo and / or bringing it up to date at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional employees on site.
You give your workforce the opportunity to fully identify themselves at any time with their individual employee photo.

The staff photos can be automatically cut to the appropriate format, removed from annoying elements in the background and optionally saved in many formats and aspect ratios.

The solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees are allowed to sit in front of the photo box in the same way as with a passport photo machine and read the operating instructions for the required actions on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can simply be read in from the employee ID. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be set up.

Following the photograph of the employee portrait, the background of the image can be automatically exchanged for one or various backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio determined by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the in-house employee data record takes place via the file name. We would be happy to support your IT department in determining the interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel in several formats.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee will be immediately visible on the picture.

How does the photographed person get his picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, the employee can choose between three different ways of receiving his photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his or her original recording as well as the various versions for the various target systems.
2. Download via QR code from an offline gallery
   The photobox provides a private WLAN that the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo booth.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's email inbox.

Further deployment options

In order to get the most out of your investment, you have the following options:

The cost frame

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
