The use of a photo box for employee photos

The employees in your company have the opportunity to take a photo of their personal employee photo and/or update it at a fixed or rotating location (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to always fully identify themselves with their individual employee photo.

The staff photos are automatically adjusted to the best format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary actions on the touchscreen.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read out immediately from the company ID card. The employee data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.

After photographing the employee portrait, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed portrait and the internal employee data record via the name of the file. We would be happy to help your IT department determine the import interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can happen in many forms at the same time.
So you always have the right photo for
Twitter, WhatsApp & Co, Facebook, XING, Instagram, Outlook, the CRM system
etc. within easy reach.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position can be immediately visible on the image.

How did the staff get the photo?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose from to also receive their photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN, which the employee must dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download the original image and the various formats for the various target systems.
3. Entry of the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.

Other deployment options

To get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
