The mission goal
The staff in your company have the option of photographing and/or updating their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your teams the chance to identify themselves to 100% around the clock with their personal employee photo.
The personal photos can be automatically cut to the appropriate format, removed from disturbing elements in the background and optionally saved in various shapes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth in a similar way to a passport photo machine and see the instructions for the necessary actions on the monitor.
The screen serves as a touchscreen in parallel as an input terminal for the required information such as e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a checkbox for internal / external use of the photo.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously in different sizes.
So you always have the best photo for
the CRM system, Instagram, WhatsApp & Co, Facebook, LinkedIn, XING, Twitter
etc. at hand.
Of course, each file can also be "branded" with company logos and/or the name and position of the employee will appear directly on the image.

How does the employee get the photo?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for staff to get their photo as a file.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various formats for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where staff can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the most of the purchase, you have the following options:

The cost frame
The investment for the purchase of a photobooth optimized in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
