The use of a photo box for employee photos
The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their personal employee photo.
The personal photos can be automatically optimized to the best possible format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to the photo booth and see the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data is simply read in from the employee ID card. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.
After photographing the employee picture, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the photographed portrait and the internal employee data record via the name of the file. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place synchronously in various formats.
So you always have the best possible photo for

Logically, each file can also be “branded” with company logos and/or the employee's name and position can be directly visible on the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory gets hold of the new pictures, there are three different ways for the sales representative to choose from to get his picture digitally as well.
- Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the sales representative can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the field worker can use to copy his original recording and the various formats for the different target systems.
Other deployment options
In order to make the best possible use of your investment, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
