What should be achieved?

The employees in your company are given the opportunity to create and/or update their personal employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees on site are not required.
You give your teams the chance to always fully identify themselves with their individual employee photo.

The staff photos are automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.

Our proposed solution

You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary steps on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read directly from the company ID card. The data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a confirmation option for internal / external use of the photo.

After the employee picture has been photographed, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed image and the in-house employee data record via the file name. We would be happy to support your IT department in clarifying the interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel to many extents.
So you always have the perfect photo for
Facebook, XING, LinkedIn, Outlook
etc. ready.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be immediately visible on the image.

How does the employee get his picture?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to get their photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can save their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various formats for the various target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.

Other deployment options

To get the most out of your investment, you have the following options:

• Pictures of groups of visitors, e.g. after a tour
• Use at trade fairs to produce personalized “flyers”
• Photo attraction at customer events & conferences
• Production of biometric passport photos and ID photos

The cost frame

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
