What should be achieved?
The employees in your company have the opportunity to take their own employee photo and / or bring it up to date at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your teams the chance to identify themselves to 100% at any time with their personal employee photo.
The staff photos can be automatically optimized to the ideal format, removed from annoying elements in the background and optionally saved in different formats and aspect ratios.
The solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit in front of the photo box in the same way as with a passport photo machine and read the instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be set up in such a way that the data can simply be read in from the employee ID card. The data recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.
Following the photograph of the employee picture, the background of the picture can automatically be exchanged for one or various backgrounds you have specified. The head of each photo is also located, scaled to a specified size and positioned on the final image at a specified location.
The image is saved in a size and format specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the photo taken and the internal employee data record. We would be happy to support your IT department in defining the interface.

How does the staff get their photo?
So that not only the CRM system or the ActiveDirectory can enjoy the new recordings, there are three different ways for the employee to receive his photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the screen, which the employee can use to download the original image and the different sizes for the different target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.
