The mission goal
The staff in your company are given the opportunity to create and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not required on site.
You give your workforce the chance to identify themselves completely around the clock with their individual employee photo.
The personal photos are automatically adjusted to the best possible format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.
Our proposed solution
You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photobooth in the same way as with a passport photo machine and read the operating instructions for the necessary actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read in from the employee ID card. The employee data collected in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the recording.
After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison is made between the photo taken and the internal employee data record via the name of the picture. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in many forms.
So you always have the best possible photo for

Of course, each file can also be “personalized” with logos and/or the name and position of the employee can be immediately visible on the image.

How does the staff get their photo?
So that not only the CRM system or the ActiveDirectory get the new photos, there are three different ways for the workforce to choose to receive their photo digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the workforce can use to download the original photo and the different formats for the different target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail address. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the staff can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other possible uses
In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
