The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the option of fully identifying themselves around the clock with their own employee photo.
The personal photos can be cut to the optimal format by machine, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can simply be read from the employee ID card. The information recorded in this way then subsequently becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a confirmation option for internal / external use of the photo.
After the employee portrait has been photographed, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department define the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can be done synchronously in many formats.
So you always have the right photo for
WhatsApp & Co, Instagram, LinkedIn, Facebook, the CRM system, Outlook, XING, Twitter

Of course, each file can also be “branded” with company logos and/or the employee's name and position will be included in the image.

How does the photographed person get his picture?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo digitally.

The photo taken is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to an offline gallery from which the employee can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed, which the employee can use to download his original photo and the various formats for the various target systems.
Other possible uses
In order to make the best possible use of your investment, you have the following options:

The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
