The mission goal
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your workforce the opportunity to identify themselves completely around the clock with their own employee photo.
The staff photos can be independently optimized to the right format, removed from disturbing elements in the background and, if desired, saved in several dimensions and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and read the operating instructions for the necessary actions on the monitor, just like with a passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read in immediately from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the image. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in various forms.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee can appear directly on the image.

How does the employee get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to receive their photo digitally.
- Download from an offline gallery via QR code
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where the employee can copy his recordings. In contrast to the online gallery, this way is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent immediately to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to load his original photo and the different sizes for the different target systems.

In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased directly.
