The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this happens in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to identify themselves completely around the clock with their personal employee photo.
The personal photos can be automatically cut to the ideal format, removed from disturbing elements in the background and saved in different dimensions and aspect ratios if desired.
One possible solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box like they would at a passport photo machine and read the instructions for the necessary steps on the monitor.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read in immediately from the employee ID card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.
After the employee picture has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken and the internal employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can be done synchronously in various formats.
So you always have the right photo for
WhatsApp & Co, Twitter, the CRM system, Instagram, XING
etc. at hand.
Logically, each file can also be “personalized” with company logos and/or the name and position of the employee will be immediately visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, the employee has three different ways to choose from to also receive his photo digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to copy his original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

To get the most out of your investment, you have the following options:

The cost frame
The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option of testing the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
