The use of a photo box for employee photos

The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the option to always fully identify themselves with their individual employee photo.

The personal photos are automatically optimized to the ideal format, removed from annoying elements in the background and saved in different dimensions and aspect ratios if desired.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in the same way as with the passport photo machine and read the instructions for the necessary actions on the display.

The monitor serves as a touch screen in parallel as an input terminal for the necessary data, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured so that the data is simply read from the employee ID card. The information collected in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be set up.

After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the image. We would be happy to support your IT department in specifying the connection.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously in different dimensions.
So you always have the perfect photo for

etc. lying ready.

Of course, each file can also be “branded” with the company's logo and/or the employee's name and position will also be visible on the image.

How did the staff come to the picture?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his photo as a file.

  1. Download from an online gallery
    At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different versions for the various target systems.
  2. Download from an offline gallery via QR code
    The photobox provides a private WLAN which the employee has to dial into.
    At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
  3. Enter the email address at the end of the photo sequence.
    The photo taken is sent immediately to the employee's email address.

In order to make the best possible use of the acquisition, you have the following options:

  • Use at trade fairs to produce personalized “flyers”

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
