The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
Crucially, this is accomplished through a self-service process, eliminating the need for additional on-site employees.
You give your employees the opportunity to identify themselves around the clock to 100% with their personal employee photo.
The staff photos can be independently optimized to the best format, removed from annoying elements in the background and optionally saved in different sizes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a photo booth, and read the instructions for the necessary steps on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is read directly from the employee ID card. The employee data recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department define the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in several forms at the same time.
So you always have the right photo for
WhatsApp & Co, XING, Instagram, Outlook
etc. at hand.
Logically, each file can also be “personalized” using company logos and/or the designation and position of the employee will appear directly on the image.

How did the staff get the photo?
So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for employees to get their picture digitally.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is then sent directly to the employee's email inbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to load his original image and the different sizes for the different target systems.

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
