The mission goal

The employees in your company are given the option to create and / or update their personal employee photo at a fixed location or at a location that changes periodically (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the option to fully identify themselves at any time with their personal employee photo.

The staff photos can be automatically cut to the best format, removed from annoying elements in the background and, if desired, saved in various formats and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and see the operating instructions for the necessary steps on the touchscreen.

The monitor serves as a touchscreen in parallel as an input terminal for the necessary data such as B. ID, first name, family name and / or date of birth.
Alternatively, the photobox can also be configured in such a way that the data can simply be read from the company ID card. The information collected in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee report can also be set up.

After the photo of the employee's picture has been taken, the background of the picture can be automatically exchanged for one or many of the backrounds you have specified. In the same way, the head of each photo is determined, scaled to a specified size and positioned on the final image at a specified location.

The photo is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the photo taken and the internal employee data record. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in various formats.
So you always have the ideal photo for

etc. at hand.

Logically, each file can also be “branded” with company logos and / or the name and position of the employee will appear directly on the picture.

How does the employee get his picture?

So that the CRM system or the ActiveDirectory alone does not benefit from the new recordings, employees can choose between three different ways of receiving their picture as a file.

1. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original photo and the various versions for the various target systems.
3. Entry of the email address at the end of the photo sequence.
   The captured photo is sent directly to the employee's mailbox.

Alternative deployment options

In order to get the most out of your purchase, you have the following options:

The cost frame

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
