The use of a photo box for employee photos
The staff in your company get the chance to create and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the option to always identify themselves 100% with their own employee photo.
The personal photos are automatically optimized to the best possible format, freed from disturbing elements in the background and, if desired, saved in different formats and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the monitor, just like with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information collected in this way then subsequently becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a checkbox for internal / external use of the recording.
After the photograph of the employee picture has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and format specified by you (eg square for the Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel to different extents.

Of course, each file can also be "personalized" with logos and/or the designation and position of the employee can be directly visible on the image.

How does the staff get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for staff to get their photos digitally.
- Download via QR code from an offline gallery
The photobox provides a private WLAN which the staff has to dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the staff can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to download their original photo as well as the different versions for the different target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox.
Other deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
