The use of a photo box for employee photos
The field staff in your company get the opportunity to create and/or update their own employee photo at a fixed location or at a periodically changing location (e.g. in the casino or company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the opportunity to identify themselves to 100% around the clock with their own employee photo.
The staff photos can be cut to the best format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
The solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box and read the operating instructions for the necessary actions on the touchscreen, just like at the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read in immediately from the company ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a checkbox for internal / external use of the photo.
After the employee portrait has been photographed, the background of the image can be automatically exchanged for one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). The name of the picture is used to compare the saved photo with the in-house employee data record. We would be happy to help your IT department clarify the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in different forms.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position will appear directly on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his picture as a file.
- Download via QR code from an offline gallery
The Photo Box provides a private WLAN that the field service employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where the sales representative can copy his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Entry of the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the different sizes for the different target systems.

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
Customer ratings
Since the system was implemented in 2019, two systems have been permanently installed in Germany and Zurich.
