The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the option to identify themselves at any time to 100% with their own employee photo.

The personal photos are automatically adjusted to the ideal format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

The solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary steps on the monitor, similar to the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read from the company ID card. The data collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.

After photographing the employee picture, the background of the photo can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the connection.

A biometric check and a cut to a biometric ID photo are also available.
The image output can be done in several dimensions at the same time.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee can be included in the picture.

How does the photographed person get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to also receive his picture digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different sizes for the different target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email inbox.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

The cost frame

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
