The use of a photo box for employee photos
The field staff in your company are given the opportunity to create and/or update the individual employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your employees the opportunity to always fully identify themselves with their own employee photo.
The personal photos are automatically cut to the appropriate format, removed from annoying elements in the background and, if desired, saved in various formats and aspect ratios.
Our proposed solution
You position a photo booth set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and read the instructions for the necessary actions on the monitor, just like with a passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the company ID card. The employee data collected in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a checkbox for internal/external use of the photo.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a defined position on the final image.
The image is saved in a size and format specified by you (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the import interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place synchronously in different sizes.

Logically, each file can also be "branded" with company logos and/or the name and position of the employee can be directly included in the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to choose from to receive his picture as a file.
- Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the field worker can use to load his original recording and the different versions for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN that the sales representative has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worth it for organizations with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
