What should be achieved?

The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not required on site.
You give your teams the opportunity to identify themselves to 100% around the clock with their personal employee photo.

The staff photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in a number of shapes and aspect ratios.

One possible solution

You place a photo booth set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and read the operating instructions for the necessary steps on the monitor, just like with a passport photo machine.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The information recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the image can also be displayed.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in clarifying the connection.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen in different formats at the same time.

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position will appear directly on the image.

How does the photographed person get their photo?

So that not only the CRM system or the Active Directory can benefit from the new images, there are three different ways for the employee to choose from to get their image as a file.

1. Download via QR code from an offline gallery
   The photobox provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code will appear on the screen. That QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different sizes for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.

Alternative deployment options

To get the most out of your investment, you have the following options:

The need for investment

The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
