The use of a photo box for employee photos

The employees in your company have the option of creating and/or updating their personal employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your teams the option to identify themselves at any time to 100% with their own employee photo.

The personal photos can be automatically cut to the appropriate format, freed from disturbing elements in the background and optionally saved in various formats and aspect ratios.

Our proposed solution

You position a photo box set up for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary actions on the touchscreen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, family name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data is simply read in from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be set up.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the connection.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in various forms.
So you always have the ideal photo for
the CRM system, WhatsApp & Co, XING, Facebook, Twitter, LinkedIn

Of course, each file can also be “personalized” with logos and/or the name and position of the employee can appear directly on the image.

How did the staff get the photo?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose from to get their photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can save his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to load his original photo and the different versions for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.

Additional uses

In order to take full advantage of the purchase, you have the following options:

The need for investment

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
