What should be achieved?

The field staff in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to always identify 100% with their own employee photo.

The personal photos are automatically cut to the best possible format, freed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.

One possible solution

You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the display.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The employee data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.

Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in several formats.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How does the photographed person get the picture?

So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the sales representative to get his picture as a file.

1. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed, which the field worker can use to copy his original photo and the various formats for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the sales representative has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery where the sales representative can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the Photo Box.

To get the most out of your investment, you have the following options:

The cost frame

The cost of purchasing a photo box modified in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
