The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on the spot.
You give your employees the opportunity to identify themselves completely with their individual employee photo at any time.
The personal photos are automatically cut to the best format, freed from annoying elements in the background and optionally saved in a number of dimensions and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in a similar way to the passport photo machine and see the operating instructions for the necessary steps on the display.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data is read in immediately from the employee ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the photo.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the connection.
A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place synchronously in several dimensions.

Of course, each file can also be "branded" with the help of the logo and/or the name and position of the employee can be included in the picture.

How did the staff get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to get their photo as a file.
- Entry of the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the different formats for the various target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the staff has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the staff can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment
The price for the purchase of such a perfected photo booth starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
