The mission goal
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or human resources department).
It is important that this happens in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to always identify themselves to 100% with their individual employee photo.
The staff photos are automatically adapted to the best format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photobooth in a similar way to a passport photo machine and see the instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The data recorded in this way then subsequently becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and placed in a specified location on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in determining the import interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can happen synchronously in several sizes.
So you always have the right photo for
the CRM system, Facebook, Instagram, Twitter, XING, WhatsApp & Co
etc. ready.
Of course, each file can also be “branded” with logos and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to receive his photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the different formats for the various target systems. - Download from an offline gallery via QR code
The photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox.
Other uses
In order to get the most out of your investment, you have the following options:

The cost frame
The cost of purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.

Since the system was implemented in 2019, two systems have been permanently installed in Germany and Zurich.
