The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to fully identify themselves at any time with their individual employee photo.

The staff photos are automatically adjusted to the optimal format, freed from annoying elements in the background and saved in many formats and aspect ratios if desired.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the monitor.

The monitor serves as a touchscreen and as an input terminal for the necessary information, e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The information recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a privacy screen with a checkbox for internal/external use of the photo can also be displayed.

After the employee portrait has been photographed, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department specify the interface.

A biometric check and a cut to a biometric ID photo are available as options.
The image output can be in different formats at the same time.
So you always have the right photo for
WhatsApp & Co, XING, LinkedIn, Facebook, Outlook

Of course, each file can also be “branded” with company logos and/or the employee's name and position will be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his picture as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the various formats for the different target systems.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the employee can download their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email address.

Further deployment options

In order to get the most out of your investment, you have the following options:

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worth it for companies with around 100 or more employees.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
