The use of a photo box for employee photos

The employees in your company are given the opportunity to create and/or update their individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or company canteen or HR department).
It is important that this is done in the form of a self-service process and that extra staff are not required on site.
You give your teams the chance to identify themselves to 100% around the clock with their individual employee photo.

The staff photos are automatically adjusted to the ideal format, removed from annoying elements in the background and optionally saved in different sizes and aspect ratios.

Our proposed solution

You can position a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the monitor.

The monitor serves as a touchscreen and as an input terminal for the necessary data, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The data recorded in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a confirmation option for internal / external use of the recording.

After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to support your IT department in specifying the interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place simultaneously in several sizes.

Of course, each file can also be "personalized" with logos and/or the designation and position of the employee will be immediately visible on the image.

How does the employee get their photo?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose from to also receive their photo digitally.

1. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various formats for the various target systems.
3. Download from an offline gallery via QR code
   The photobooth provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame

The cost of purchasing a photobox optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
