The use of a photo box for employee photos

The employees in your company have the option to photograph and / or update their personal employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your workforce the opportunity to fully identify themselves at any time with their own employee photo.

The staff photos are automatically optimized to the best possible format, removed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.

Our proposed solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo booth, similar to a passport photo machine, and read the instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen in parallel as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photobox can also be programmed so that the data can be read out immediately from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.

Following the photograph of the employee picture, the background of the picture can be automatically exchanged for one or different backrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a specified position.

The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). A comparison is made between the saved image and the in-house employee data record via the name of the image. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place in several forms at the same time.
So you always have the right photo for
Twitter, WhatsApp & Co, Facebook, the CRM system, Outlook
etc. ready.

Of course, each file can also be “personalized” with company logos and / or the name and position of the employee are immediately visible on the picture.

How does the employee get his picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new photos, employees can choose between three different ways of receiving their image as a file.

1. Entry of the email address at the end of the photo sequence.
   The captured photo is sent directly to the employee's email inbox.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which employees can download their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the screen, which the employee can use to download his or her original recording and the different sizes for the various target systems.

Alternative uses

In order to make the best possible use of your investment, you have the following options:

• Photos of groups of visitors, for example after a presentation
• Use at company parties (summer party, Christmas party ...}
• Employee photos (as already described)
• Photo attraction at customer events & conferences
• Production of biometric passport photos and ID photos

The need for investment

The investment for buying a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
