The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and / or update their personal employee photo at a fixed or alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your staff the option to identify themselves completely around the clock with their personal employee photo.

The staff photos can be independently optimized to the optimal format, removed from annoying elements in the background and optionally saved in some dimensions and aspect ratios.

Our proposed solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and see instructions for the necessary actions on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or different backgrounds you have specified. The head is also analyzed for each photo, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and format that you specify (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed image and the internal employee data record. We would be happy to support your IT department in determining the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in several sizes at the same time.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee will appear directly on the picture.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory get the new photos, the employee can choose between three different ways to receive his picture as a file.

1. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can copy his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is then sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download his or her original photo and the different formats for the various target systems.

To get the most out of your investment, you have the following options:

The need for investment

Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
