The mission goal

The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their personal employee photo.

The personal photos are automatically adjusted to the best format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

One possible solution

You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and read the operating instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photobooth can also be set up in such a way that the data is read in immediately from the employee ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee report can be set up.

After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or various backgrounds specified by you. Likewise, the head of each photo is located, scaled to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved image and the in-house employee data record via the name of the image. We would be happy to support your IT department in clarifying the import interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in various dimensions at the same time.
So you always have the right photo for
XING, LinkedIn, the CRM system, WhatsApp & Co, Outlook
etc. within easy reach.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be immediately visible on the image.

How did the staff get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.

1. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the various versions for the different target systems.
3. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which employees can load their photos. In contrast to the online gallery, this route is only possible in the immediate vicinity of the photo booth.

Additional uses

In order to make the most of the purchase, you have the following possible uses:

• Use at employee parties (summer party, Christmas party ...}
• Pictures of groups of visitors, e.g. after a tour of the company
• Use at trade fairs to create personalized “flyers”
• Employee photos (as already explained)
• Photo attraction at customer events & meetings

The need for investment

The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
