The use of a photo box for employee photos

You give your staff the option to identify themselves at any time to 100% with their personal employee photo.

The personal photos are automatically optimized to the best format, freed from disturbing elements in the background and optionally saved in many shapes and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth like at a passport photo machine and read the instructions for the necessary actions on the touchscreen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data is read in immediately from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the image.

After the photograph of the employee picture has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department clarify the connection.

A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take place in various formats at the same time.

Of course, each file can also be “personalized” using the company logo and/or the name and position of the employee can appear directly on the image.

How does the employee get their photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, the employee has three different ways to choose from to also receive his photo digitally.

1. Enter the e-mail address at the end of the photo sequence.
   In this case, the captured photo is sent immediately to the employee's email inbox.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy their original photo and the different versions for the various target systems.
3. Download via QR code from an offline gallery
   The photobox provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
