The mission goal
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the chance to always fully identify themselves with their own employee photo.
The staff photos can be automatically optimized to the optimal format, removed from annoying elements in the background and saved in different sizes and aspect ratios if desired.
The solution
You can place a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photobooth in a similar way to a passport photo machine and see the operating instructions for the necessary actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can be read directly from the business card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the image can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and placed in a specified location on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the recorded portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the connection.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image can be output in many sizes at the same time.
So you always have the perfect photo for
XING, the CRM system, Twitter, LinkedIn, Outlook, Instagram
etc. lying ready.
Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are immediately visible on the picture.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory can benefit from the new images, there are three different ways for the employee to choose from to get his image as a file.
- Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original recording and the various versions for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's e-mail address.

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
