The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the canteen or company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional staff are not needed on site.
This gives your workforce the opportunity to fully identify themselves around the clock with their individual employee photo.
The staff photos can be automatically adjusted to the best format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box in a similar way to a passport photo machine and see the operating instructions for the necessary actions on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a release option for internal / external use of the recording.
Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). The name of the file is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place at the same time in different dimensions.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different sizes for the different target systems. - Entry of the email address at the end of the photo sequence.
The captured photo is then sent to the employee's email inbox. - Download from an offline gallery via QR code
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
