What should be achieved?
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this is achieved in the form of a self-service process and that you do not need extra personnel on site.
You give your teams the chance to always identify 100% with their individual employee photo.
The personal photos are automatically optimized to the optimal format, freed from disturbing elements in the background and optionally saved in a number of dimensions and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo booth and read the operating instructions for the necessary actions on the display, just like with the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the business card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be set up.
Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed at a defined point on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the picture. We would be happy to help your IT department specify the interface.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can happen synchronously in some sizes.

Logically, each file can also be “personalized” with the help of the company logo and/or the employee's name and position can also be visible on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his picture as a file.
- Download from an offline gallery via QR code
The photo box provides its own WLAN, which the employee must dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where the employee can load his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
In doing so, the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original photo and the various versions for the various target systems.
Other deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
