What should be achieved?
The employees in your company are given the opportunity to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
This gives your workforce the opportunity to identify themselves to 100% around the clock with their individual employee photo.
The staff photos can be independently adapted to the appropriate format, freed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo booth can also be set up so that the data can be read directly from the employee ID card. The data collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.
After the employee portrait has been taken, the background of the photo can automatically be exchanged for one or various backgrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and placed on the final image at a specified location.
The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). The name of the image is used to compare the recorded image and the internal employee data record. We would be happy to support your IT department in specifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in several formats.

Of course, each file can also be “branded” with company logos and / or the name and position of the employee are immediately visible on the picture.

How does the employee get the picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, there are three different ways for the employee to receive his photo as a file.
- Download from an offline gallery via QR code
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed or printed on the screen, which the employee can use to download his original recording as well as the different versions for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent immediately to the employee's email inbox.
Other deployment options

The cost frame
The investment for the acquisition of a photobox adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
