The mission goal

The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that extra employees are not needed on site.
You give your employees the chance to always identify 100% with their own employee photo.

The staff photos can be automatically optimized to the right format, freed from annoying elements in the background and optionally saved in many formats and aspect ratios.

Our proposed solution

You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the monitor, just like with the passport photo machine.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the employee ID card. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be set up.

After photographing the employee portrait, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned in a defined position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department clarify the interface.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can be done in various sizes at the same time.
So you always have the perfect photo for

etc. within easy reach.

Of course, each file can also be “personalized” with the company's logo and/or the employee's name and position can be immediately visible on the image.

How does the employee get their photo?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to choose from to also get their photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original recording and the various versions for the various target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
