The mission goal

The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that no extra staff is needed on the spot.
This gives your workforce the option of fully identifying themselves around the clock with their individual employee photo.

The personal photos can be automatically cut to the optimal format, freed from disturbing elements in the background and optionally saved in certain dimensions and aspect ratios.

The solution

You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo booth and read the instructions for the necessary steps on the touchscreen, just like with the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a sharing option for internal/external use of the image.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and placed at a defined point on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the import interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can happen in different sizes at the same time.
So you always have the best photo for
Instagram, XING, the CRM system, Facebook, LinkedIn
etc. ready.

Of course, each file can also be “personalized” with logos and/or the name and position of the employee will also be visible on the image.

How does the employee get their photo?

So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, the employee can choose between three different ways of getting his picture digitally.

1. Download via QR code from an offline gallery
   The Photobox provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where the employee can download his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the email address of the employee.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download his original recording and the different versions for the various target systems.

Further deployment options

To get the most out of your investment, you have the following options:

• Use at employee parties (summer party, Christmas party ...}

• Use at trade fairs to create personalized “flyers”

The need for investment

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained directly.
