The mission goal
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to identify themselves at any time to 100% with their personal employee photo.
The personal photos can be automatically optimized to the appropriate format, removed from disturbing elements in the background and optionally saved in various shapes and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the display, similar to the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the company ID card. The data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee report can be set up.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a specified position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the recorded image and the in-house employee data record via the name of the file. We would be happy to help your IT department define the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously in various forms.

Logically, each file can also be “personalized” with logos and/or the employee's name and position will be directly visible on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to get his picture digitally.
- Download from an offline gallery via QR code
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the employee can save his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different formats for the various target systems.

The cost frame
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
