The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your teams the option to identify themselves at any time to 100% with their individual employee photo.
The staff photos can be independently cut to the best format, removed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be programmed in such a way that the data can be read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the recording.
After the employee portrait has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department define the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image can be output in different formats at the same time.
So you always have the best photo for

etc. are available.
Of course, each file can also be “personalized” with the company logo and/or the name and position of the employee will also be visible on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, the employee has three different ways of receiving his photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original photo and the different sizes for the different target systems. - Entry of the email address at the end of the photo sequence.
The captured photo is then sent to the employee's email address. - Download from an offline gallery via QR code
The Photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery where the employee can download his photos. In contrast to the online gallery, this path is only in the immediate vicinity of the photo box.
Further deployment options
In order to make the best possible use of your investment, you have the following options:

The cost frame
The price for purchasing a Photo Box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
