What should be achieved?
The employees in your company have the option to create and / or update their own employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to always fully identify themselves with their personal employee photo.
The staff photos are automatically adapted to the best possible format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.
The solution
You can place a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to the passport photo machine, and see the instructions for the required steps on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can simply be read from the company ID card. The data collected in this way will later become a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the recording.
After the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or various backrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined point.
The image is saved in a size and aspect ratio that you specify (e.g. square for the Active Directory). The file name is used to compare the saved photo and the in-house employee data record. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can be done at the same time to some extent.

How does the employee get the picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, there are three different ways for the employee to get his image digitally.

In this case, the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to load his or her original photo and the various versions for the different target systems. - Download via QR code from an offline gallery
The photobox provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can copy down his recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
Alternative uses
In order to make the best possible use of the acquisition, you have the following options:
- Use at trade fairs to produce personalized “flyers”
- Employee photos (as described above)
- Production of biometric passport photos and ID photos
- Use at employee parties (summer party, Christmas party ...}
- Pictures of groups of visitors, e.g. after a lecture
The need for investment
The cost of purchasing such a customized photo box starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
