What should be achieved?
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a rotating location (e.g. in the dining room or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves around the clock to 100% with their individual employee photo.
The personal photos are automatically cut to the appropriate format, freed from disturbing elements in the background and, if desired, saved in certain dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the display, as with the passport photo machine.
The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the employee ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.
Following the recording of the employee picture, the background of the recording can be automatically replaced with one or more backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the portrait taken with the internal employee data set. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously to some extent.

Of course, each file can also be “branded” with logos and/or the name and position of the employee can appear directly on the image.

How does the employee get his photo?
To ensure that the CRM system or the Active Directory are not the only ones to get hold of the new photos, there are three different ways for the employee to get his photo digitally.
- Download via QR code from an offline gallery
The photo box provides its own WLAN that the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to an offline gallery where the employee can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Entry of the email address at the end of the photo sequence.

At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to load his original photo and the various formats for the various target systems.
