The use of a photo box for employee photos
The employees in your company have the option of creating and / or updating their individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.
The staff photos can be automatically cut to the ideal format, removed from disturbing elements in the background and, if desired, saved in many dimensions and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, employees can sit down in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read in directly from the company ID. The employee data collected in this way are then later an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or more backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a specified position.
The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved photo and the internal employee data record. We would be happy to help your IT department specify the interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place simultaneously in various dimensions.

How does the staff get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to get his photo digitally.
- Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the different formats for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's inbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.
