The use of a photo box for employee photos

The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed location or at a location that changes at regular intervals (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the option to always identify 100% with their own employee photo.

The staff photos can be automatically optimized for the best format, removed from disruptive elements in the background and optionally saved in various dimensions and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can stand in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the touchscreen.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read in directly from the employee ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.

After the photo of the employee has been taken, the background of the recording can be automatically exchanged for one or more backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the in-house employee data record takes place via the name of the picture. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place synchronously in different dimensions.
So you always have the ideal photo for
Outlook, the CRM system, Instagram, Facebook, LinkedIn
etc. at hand.

Logically, each file can also be “personalized” with a company logo and / or the name and position of the employee can appear directly on the picture.

Advantages of automated photo processes for perfect employee photos

  • optional data acquisition before or during the recording sequence
  • Employee images according to your corporate design
  • minimized work time
  • the employee photo box is noticeably cheaper than a booked portrait photographer
  • The name of the person photographed can also be digitally added to the picture without manual rework.
  • digital branding with your background and logo.
  • RAW data can also be saved on request

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory comes into possession of the new recordings, there are three different ways for the employee to get his photo digitally.

  1. Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original image and the various sizes for the various target systems.
  2. Enter the email address at the end of the photo sequence.
In this case, the captured photo will be sent directly to the employee's mailbox.
  3. Download via QR code from an offline gallery
The Photo Box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the employee can save his recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

Additional deployment options

In order to make the most of the purchase, you have the following options:

  • Photo attraction at customer events & meetings
  • Employee photos (as described above)
  • Use at trade fairs to issue personalized “flyers”
  • Recording of biometric passport photos and ID photos
  • Photos of groups of visitors, for example after a presentation
  • Use at employee parties (summer party, Christmas party ...}

Of course there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.

references

Since the implementation of the system in 2019, two systems have been permanently set up in this country and in Switzerland.

Both at WWZ AG in Zurich and at Haufe Lexware, the system is very well received by employees.
