The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that extra staff on site are not required.
You give your employees the opportunity to identify themselves completely around the clock with their personal employee photo.
The staff photos are automatically adjusted to the optimal format, freed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read from the employee ID card. The information collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a confirmation option for internal/external use of the recording.
After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and format specified by you (eg square for the Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in clarifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can happen to different extents at the same time.

Of course, each file can also be "personalized" with a company logo and/or the name and position of the employee can be included in the picture.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to also get his picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to load his original photo and the various formats for the different target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address. - Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can copy his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
