What should be achieved?
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the option to identify themselves to 100% around the clock with their own employee photo.
The personal photos are automatically cut to the ideal format, freed from disturbing elements in the background and saved in different dimensions and aspect ratios if desired.
One possible solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to the photo booth and see the instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can simply be read in from the company ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the photo.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place at the same time in various dimensions.

Of course, each file can also be "personalized" with company logos and/or the designation and position of the employee can be visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory can enjoy the new pictures, there are three different ways for the employee to get his picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the various versions for the different target systems. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the employee can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's mailbox.

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is adopted immediately.
