The mission goal
The employees in your company have the opportunity to photograph their own employee photo and/or update it at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that you do not need additional personnel on site.
You give your workforce the opportunity to identify themselves to 100% at any time with their personal employee photo.
The personal photos are automatically optimized to the best format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
The solution
You position a photobox set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box and read the operating instructions for the necessary steps on the screen, just like with the passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the recording.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the picture. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in various dimensions.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will also be visible on the image.

How does the employee get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to choose from to get their photo digitally as well.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The photobox provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original image and the various sizes for the various target systems.
Alternative uses
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
